Synthetic Pitch Hire Arrangements
1. Bookings must be made in advance by way of completion of a pitch hire booking form which can be obtained from Salisbury & South Wilts Sports Club (S&SWSC). Outside of opening hours, please contact the club on 01722 327108 (answer phone provided) or by email at email@example.com Bookings will only be accepted once verbal or written confirmation has been received from the Sports Club Manager or a Club official.
2. Single or block bookings are available; block bookings are exempt from VAT if more than 10 separate booking dates are made. Either half or full pitch hire is available (with or without floodlighting) according to availability. Each booking must be a minimum of 1 hour and be in hour slots thereafter (no part hour bookings are available).
3. Prior to any usage a Synthetic Pitch Hire Agreement form must be completed and have been accepted by the S&SWSC. The named official (the ‘hirer’) is thereafter responsible for all actions within the synthetic pitch facility during the period of the hire.
4. Cancellations will be accepted up to 24 hours prior to the commencement of the hire without charge for the first instance. S&SWSC reserve the right to charge a cancellation fee for repeated cancellations or ‘noshows’ within one week of the scheduled hire.
Conditions of Use
a. The pitch may only be used for the playing of football or hockey, unless prior agreement has been obtained from S&SWSC.
b. The ‘hirer’ is to ensure that all users of the synthetic pitch facility (both playing and coaching) are wearing appropriate footwear for the activity (no metal studs, blades or plastic/rubber studs longer than 4mm). If any individual or group of individuals are found to be wearing inappropriate footwear then they will be instructed to leave the facility immediately and a formal warning will be issued to the ‘hirer’. Two such warnings in a 12 month period will result in the organisation being prohibited from future usage.
Random checks will be undertaken by the S&SWSC management team.
c. No eating, spitting, chewing gum, dogs or smoking are permitted within the synthetic pitch facility. Drinks should only be water or sports drinks; any empty bottles or cans should be disposed of in the bins provided.
d. Users must take care to ensure that all personal belongings are taken from site. Lost property will be collected by S&SWSC and stored within the Main Clubhouse for a period of 7 days after which any unclaimed property will be disposed of.
e. Any ‘hirer’ found to be wilfully damaging the synthetic pitch and surrounding facility, clubhouse or any other property of S&SWSC will be banned from any future usage.
f. Any ‘hirer’ found to be using threatening or offensive behaviour, including the use of offensive language, will be banned from all future usage.
g. Whilst the S&SWSC will ensure that the facility is fit for purpose, it will not accept any liability for injury of persons or damage to equipment whilst playing or spectating within the synthetic pitch facility.
S&SWSC are responsible at the start of each set of bookings for the completion of an initial risk assessment which can be made available for viewing by any of the subsequent ‘hirers’. This does not relieve each ‘hirer’ of their own obligation to assess the facility at the start of their own booking or of the need to raise any concerns immediately with S&SWSC. With safety in mind, S&SWSC retain the right to close the facility without notice. In the event of an incident/accident occurring, please notify the Club staff immediately so that any necessary and appropriate assistance can be offered. It is also a requirement of our Health and Safety Policy that such occurrences are reported and logged in the Club’s accident book.
h. S&SWSC reserves the right to enforce the use of floodlights if, in its opinion, the facility is unsafe to use without them.
i. There are toilets, changing facilities and a bar available for all users of the pitch in the main clubhouse.
j. S&SWSC reserve the right to increase the price of hire with one month’s notice to the ‘hirer’.
k. S&SWSC reserve the right to terminate the hire agreement with one month’s notice to the ‘hirer’.
